Magical Neutral Palette ARCA Tulum Wedding *

Now that the weather is warming up once again, we can’t seem to get enough of Mexico weddings. Mezcal, palm trees, and sand in your toes–what more could you ask for? Kari and Matt’s magical neutral palette Tulum wedding at ARCA Tulum had all of this and more. After visiting the tropical destination on vacation, the couple knew they wanted a weekend-long jungle party with their family and friends to celebrate their love. With the help of planner LM Weddings Tulum, that’s what they did.

The couple exchanged vows at a cenote overlooking the water before partying the night away under the glow of the disco balls. And although the venue’s natural beauty is unbeatable, the evening was elevated by extravagant floral arrangements from Moni Junco. Oh, and did we forget to mention that they flew their DJ in from Texas and there were also dancers in light-up costumes?

A Perfectly Magical Neutral Palette Tulum Wedding

Tulum is a place that Matt and I have loved since the first time we visited in 2018. This city exudes the same characteristics we wanted for our wedding. It’s energetic, unpretentious, and intoxicating. Using Tulum’s natural beauty as a backdrop, we opted for neutral colors, rich textures, and open-air concepts for an immersive experience that lasted all weekend long. We wanted the weekend to feel less like a wedding and more like a three-day journey through a magical jungle!

A Private Moment Between Bride And Groom

After the ceremony, Matt and I took a private shuttle back to ARCA to see the reception space before guests arrived. When we stepped foot into the entrance, both of our jaws hit the floor. Our incredible vendor team had magically transformed the restaurant into a romantic jungle oasis. The flowers, lighting, and decor surpassed our wildest dreams. That moment was especially memorable because of how much freedom we gave our vendors to create. We had no idea what to expect, and it was like walking into our very own surprise party! 

Highlighting Their Love For Music Throughout The Day

We refused to compromise on the music for our wedding. We started making a playlist for inspiration shortly after our engagement. Music is such an important part of our relationship, and we wanted it to be perfect. We flew our DJ, Christian Barbuto, from Austin to Tulum because we knew him well and trusted he would do an amazing job. He crushed it. Everything was curated to our musical taste, from the ceremony to the cocktail hour to well into the late-night party. Our reception started with our first dance song, “Treat You Better” by Rufus du Sol, and ended with a remixed version of the same song. I still get chills thinking about it!

Lavish And Elegant Ballroom Wedding *

After twelve years together, Jordan and Craig tied the knot in an elegant ballroom wedding at the Conrad Indianapolis that was full of thoughtful and personal touches. With the help of planner Emily Ventura Designs, the couple transformed the hotel’s blank canvas into a moody and glamorous space full of mirror disco-like balls hanging from the ceiling, grand ivory florals from Knox Florals, and a monogrammed dance floor.

But it wasn’t just the decor that was well-thought-out. From handwritten vows to matching rainbow socks, every small detail represented their years of love. And, of course, we can’t forget a last dance *NSYNC’s “Bye Bye Bye” or the colorful cake from Classic Cakes.

Elegant Wedding Vibes At The Conrad Indianapolis

We were together for ten years before getting engaged, so we had plenty of time to think about what our dream wedding would be like. We wanted to blend classic touches with a modern feel. The ballroom at the Conrad Indianapolis was oozing with classic elegance, so we mixed in dark, rich colors and modern florals to blend the two styles together. Having thousands of candles and a monogrammed “J+C” dance floor added to the elegance.

A Family Officiant And Personalized Vows

We asked Jordan’s Aunt Susan to be our officiant because of her special relationship with Jordan. We knew that her relationship with each of us would be intimately expressed in her remarks. Her comical yet deeply endearing words set the tone for the rest of the evening. We also decided early on that we would write our own vows. We knew we wanted to do something different than traditional vows, so we took it upon ourselves to write our own. With Jordan working in communications and Craig’s profession as an English teacher, we set the bar high for ourselves. We think the waterworks from each other and those in attendance solidified our choice.

 

Being Surrounded By Those Who Matter Most

The thing we’re most proud of is the love that surrounded us the entire day. Being a gay couple in Indiana has its hardships, so it was comforting to be surrounded by the people in our lives who have loved us, accepted us, and fought for us. That love emanated from the intimacy of the ceremony to the hilarious speeches from the best man and matron of honor to the contagious energy on the dance floor all night long.

Due to the pandemic, there were many unknowns during the final weeks of the wedding planning. And yet, against all odds, Marva and Philip did it with no lack of laughter, hugs, or tears.

The Bride’s “Something Old” From Her Father

We exchanged very meaningful gifts. The groom gave me diamond earrings which I wore alongside the emerald earrings my father gifted me when I was just thirteen years old. I gave the groom a personal memento of his late father to wear on the inside of his tuxedo jacket. 

A Destination Wedding Surrounded By Loved Ones

Love was tangible and present during every moment of our wedding. We were grateful all of our loved ones were able to be in Sorrento for our wedding weekend—against all odds and in the midst of a global pandemic. We’ll never forget the memories we made, and the joy it brought us.

Small Moments That Make For An Unforgettable Day  

When I turned down the beautiful garden pathway with my Dad and saw Philip standing in front of the exquisite sunset, I knew I’d never forget that memory. For my husband, his favorite memory of that day is his mother’s speech. Poignant, eloquent, and heartfelt. All the moments we shared with her during the wedding weekend mean so much now that she has sadly passed away. 

Destination Wedding Planning Tips

First, you have to have a balance of flexibility and faith that everything will work out. Especially in the current climate. Secondly, it’s really important to not get overwhelmed in response to challenges. The week of our wedding, we were forced to find an alternative venue. So many changes and decisions needed to be made but we grew as a couple in the process. Finally, have a plan but also follow your gut and don’t get hung up on the small details. The most important thing is your union. 

The Importance Of Personalizing Your Ceremony  

We personalized our ceremony by having our daughter as our ring-bearer. She was amazing—the fruit of our love bringing the rings of our union. It was also important for us to write our own vows. We chose ceremony music and readings that had special meaning to us. Everything felt so personal.

Pasquale Mestizia Photography and his team were amazing to work with. We knew we could trust them. They had already gone above and beyond leading up to the wedding. Ageless fashion, vinyl records, and a thrifted floral brooch bouquet—every element of this unique vintage elopement transports us back to the swinging 60s. With the help of planner and florist Daydream Studio, Alida and Adrian fully transformed their backyard into a space that celebrated their love for the 60s and each other. 

The couple exchanged intimate “I do’s” in a local California church—Simply Beautiful Civil Wedding Chapel—and then celebrated with a photoshoot and a sunset elopement reception. 

The soft green and yellow floral arrangements by Daydream Studio, complimented the vintage staple wedding pieces. Because this couple is anything but ordinary, DreaSavyDesigns incorporated fun balloon details making for a unique backdrop.

Who Says Your Bouchet Has To Be Flowers? 

I’ve collected vintage 1960s flower brooch pins since I was a teenager and knew for some time my goal was to collect enough pins to create a beautiful vintage brooch bouquet for my wedding—a bouchet, if you will. It’s a forever special keepsake to remember our special day.

No Challenge Can Come Between This Love 

We were faced with many challenges during the wedding planning process. We embraced every challenge and ended up opting for a simple, beautiful, unique, and intimate elopement. Though it might not have been what we originally envisioned, it actually turned out to be perfectly perfect. We’re extremely satisfied with the complete vision. We had a great support  system that helped make our day a reality. We’re forever grateful.

Loved Ones Support Radiates

Our favorite part of the day was the feel. Though our loved ones weren’t in attendance, we were still able to feel their love and support. We felt really lucky that everything came together, despite the world pandemic.

Advice For Planning A Day Authentic To Your Love

Accept early on that you can’t please everyone and have faith that all your efforts will be worth it—no matter how big or small of a celebration you chose to have. Remember it’s ultimately about being present in each moment with your significant other. That’s all that truly matters.

There’s something magical about tying the knot in a faraway place, surrounded by your loved ones. But when it comes to planning a destination wedding, that magical feeling can start to fade. From marriage requirements to language barriers to the act of just getting there, there’s a lot that goes into it. Oh, and not to mention your guests’ availability, the weather, and your wedding budget. Sound overwhelming? We know. Don’t fret.

Before you jet-set off to your dream wedding destination, you’ll want to make sure that you’re prepared. That’s why we’ve put together this guide to help you plan the perfect destination “I do’s.”

Why Have A Destination Wedding

Are you on the fence about having a destination wedding? While planning may seem like a difficult feat, there are a lot of advantages. Some of them include:

How To Pick Destination Wedding Location

Once you’re set on traveling for your special day, it’s time to pick a destination wedding location. The location determines the aesthetic of the day, your travel time, and impacts your budget.

Is there a spot that is special to you and your partner? Maybe the place you got engaged. Or the first place you two ever took a trip together. No matter what the significance is, you want to understand the travel requirements and restrictions beforehand. For example, will your guests need a passport or visa? Are there any travel warnings, health concerns, or political problems? If there are concerns (think vaccinations or quarantines), you need to be clear with your guests as soon as possible.

Lastly, think about the oldest guest that you will be inviting. Will it be difficult for them to travel to the destination of your choice? Is it feasible to have your great-grandmother travel ten hours by plane? If not, be sure to plan ahead with a virtual ceremony for guests who can’t attend in-person.

Select A Destination Wedding Date

After picking a location, you’ll need to pick a date. While your availability is important, it’s best to research the weather conditions during your ideal season. In most places, the best weather will also mean an increase in travel time and crowds. This can lead to fewer hotel options and higher prices overall. 

If you decide to book your wedding date during peak season, book your venue and hotel room block as soon as possible. Check out shoulder seasons, or the times just outside peak season, so that you’ll still get great weather conditions for less money. 

Junebug Tip: The off-season is typically not popular for a reason. This usually means poor weather conditions and a lack of activities. Don’t accidentally cut costs by hosting your wedding during hurricane season!

Once a date is picked, send your save-the-dates eight to twelve months out. From there, your official wedding invitations should go out five to six months before the wedding. Your wedding announcements will give guests time to get their travel in order and avoid too many changes in cost.

While guests are paying for things like travel fees, hotels, and activities the costs add up quickly. So if you have guests who can’t afford to attend, don’t be upset.

Research Local Marriage Requirements

While we wish getting married was as simple as hiring an officiant, it’s, unfortunately, a little more complicated than that. Some countries have residency requirements or need other certificates before you can legally wed. 

Read up on every requirement they have before traveling so that you’re not surprised once there. If it’s impossible to have your wedding legally recognized in the country you’ve chosen, consider tying the knot in a civil ceremony before you go. This way, you can say “I do” in front of your guests and rest assured that it’s the real deal. 

Take A Trip

If possible, take at least one trip to your destination during the wedding planning process. This gives you time to scout out a venue, lodging, and rehearsal dinner spots while meeting with potential vendors

If you’re able, visit a second time for tastings, hair and makeup trials, meetings with florists, and any of your other vendors If this isn’t possible–we can’t stress this enough–hire a local wedding planner!

Vet The Wedding Vendors

Speaking of wedding planners–this is where they come in handy. A local planner will know all of the best vendors around. While you can find many options online, make sure that you’re comfortable with the planneryou hire. They have firsthand experience with multiple different vendors in every category possible.

Whether or not you choose to hire a planner, conduct video calls with your vendors. This will help you get to know them,  their working style, and help them understand who you are as a couple. It also gives you the chance to spot any red flags that may arise–like poor communication.

If your budget permits and you feel more comfortable, another option is to bring vendors from home. Just expect to cover their travel expenses and lodging costs. 

 

Find Lodging Recommendations For Guests

While it’s not expected that you’ll take care of guest accommodations, your guests will appreciate having a list of lodging options within a range of budgets. They’ll likely feel more comfortable staying somewhere that is hosting other guests from the wedding, too. Especially if your destination wedding is in a country they haven’t visited before.

To help with costs, consider offering hotel room blocks. This usually means you’ll be able to negotiate a lower discounted rate while keeping guests together. If this is something you plan on doing, call the hotel before you set a date. You don’t want to have a date picked and have no hotel options for guests.

And most importantly, take into consideration how far the lodging is from your venue and the airport. If it’s near your venue but far from the airport you should plan for shuttles, rideshare services, or other transportation options that will make getting from point A to point B a piece of cake.

Plan Events And Activities For Guests

There’s no doubt that your guests will be excited to celebrate you. Consider expanding your itinerary as a thank you to them for traveling to be with you. Some couples choose to turn their special day into a wedding weekend. However, this isn’t necessary. You can go as big as you want, or as simple as hosting a welcome party or post-wedding brunch. 

If you’re getting married somewhere known for its activities or food, consider organizing a tasting or an afternoon excursion. This is a chance to bond with your guests and soak up the culture of your destination.

Give Your Guests Welcome Bags

Upon your guests’ arrival, consider giving out welcome bags to provide some homey comfort. These bags can include essentials like bug spray, sunscreen, city maps, local snacks, pain medicine for the inevitable hangovers, and more.

How To Save Money Planning A Destination Wedding

While getting married in an exotic destination can ultimately be cheaper than a local wedding, if you’re looking to save a little extra cash, consider these tips:

Get married on an off-day 

Getting married on a weekday will save you money on the venue and give you the chance to enjoy your destination a little longer. Flights and lodging will also likely be cheaper as well.

Consider all-inclusive resorts

While all-inclusive resorts may seem like a hefty price tag upfront, they’re actually a great way to save money down the line. If you purchase one of their packages, you’ll get flowers, cake, photographer, entertainment, food, drink, and more for a set price. All-inclusive wedding packages also take away some of your wedding planning stress.

Use nature as a backdrop

If you’re vowing to spend the rest of your life with your partner at a destination wedding, there’s a good chance that the destination you choose is naturally beautiful in the first place. Use that to your advantage and have nature act as your backdrop rather than spending money on decor.

Choose local florals, ingredients for your menu, and beyond

Of course, your destination is much more than just a pretty backdrop. It’s also home to beautiful flowers, food, and more. Make use of these ingredients and decor (rather than importing inexpensive items) to watch your costs drop.

Be on the lookout for deals on flights and hotels

When booking travel, use sites like Skyscanner and KAYAK. Set up price alerts so you get notifications when prices drop. This way, you know you’re getting the best deal out there.

While browsing for flights, use incognito mode on your browser so that the website can’t store your cookies to store information–which tends to jack up prices.

Nixing the wedding registry

Save your guests money by nixing the wedding registry. Your guests are already paying to celebrate with you. Let that be their gift for you.
